The forms are provided by HubSpot, and the submissions are stored in a HubSpot account that our development partner [Ctrldocs](https://ctrldocs.com/ "CtrlDocs add-ons for M-Files (ctrldocs.com)") ApS administers on our instructions. The form loads and works without cookie consent; it does not set our analytics or marketing cookies. - **Spam protection.** We have switched on HubSpot's spam protection for our forms. It uses Google reCAPTCHA. When a form comes into view, reCAPTCHA checks technical details, such as your IP address, your browser and how you use the page, to tell people from automated programs. It stores a few items in your browser, and more when you send the form (all listed in the cookie table below). We don't ask for consent for this, because the check is part of the form working securely; if you prefer, email or call us instead. Google LLC processes the data as HubSpot's sub-processor, may use it only to run reCAPTCHA and keep it secure, and does not use it for personalised advertising. - **Statistics.** With your consent, Google Analytics 4 and Microsoft Clarity collect usage data (pages viewed, approximate location, device and browser) so we can see how many people visit and improve the site. Clarity also produces heatmaps and session recordings; text you type is masked. - **Marketing.** With your consent, the HubSpot tracking script recognises returning visitors and connects page visits to a form you send, so we can follow up relevantly. - **Interactive demos.** Product demos are hosted by Arcade Software, Inc. (USA), which sets its own cookies (listed in the cookie table below). With marketing consent a demo loads with the page; without it, only when you press “Load demo” on the demo itself. - **Technical.** Strictly necessary cookies and standard server logs needed to run and secure the site. ## Legal bases (GDPR) - **Consent** (Art. 6(1)(a)) for analytics and marketing cookies — you can withdraw it any time via “Cookie settings” in the footer. - **Legitimate interests / steps prior to a contract** (Art. 6(1)(f)/(b)) to respond to your enquiries and demo requests. - **Legitimate interests** (Art. 6(1)(f)) to keep automated spam out of our forms. - **Legal obligation** (Art. 6(1)(c)) where we must retain certain records. ## Cookies We use three categories of cookie: **necessary** (always on), **statistics** and **marketing**. Statistics and marketing tools load only after you accept them. Two things load without that consent, and only on pages that have them: the HubSpot form, once it is on screen, and an interactive demo, when you press “Load demo”. You can change or withdraw your choice at any time through “Cookie settings” in the footer. When you withdraw, we delete the cookies those tools set on this site. Your choice is stored for 12 months, and we ask again when we add a tool or change a purpose. Every cookie is listed in the table below. About the form: it loads without consent once it is on screen, so that you can use it. The form and its spam protection (Google reCAPTCHA) then store a few items in your browser, and more when you send the form, among them a reCAPTCHA cookie that lasts about six months. We don't use any of it for statistics or marketing. HubSpot also counts views of its own link under the form, for its own purposes. The HubSpot tracking script, which sets marketing cookies such as `__hstc` and `hubspotutk`, loads only after you accept the marketing category. ## Cookies we use[#](#cookies-we-use) This list is generated from the tools the site is set up with. We don't use any of it for statistics or marketing. That does not apply to HubSpot's own link under the form: HubSpot counts views of it for its own marketing. Recipients that decide on their own use of the data, and only when you consent: - **Google Ireland Limited** — Google Analytics 4 (statistics). - **Microsoft Ireland Operations Limited** — Microsoft Clarity (statistics); see the [Microsoft Privacy Statement](https://privacy.microsoft.com/privacystatement). - **Arcade Software, Inc.** — interactive product demos, with marketing consent or when you press “Load demo”. HubSpot also decides on its own use of one thing: views of the link to HubSpot that it shows under our forms on its free plan. That happens without consent, when a form is shown (see HubSpot's [privacy policy](https://legal.hubspot.com/privacy-policy)). Some of these providers process data in the United States. Where data is transferred outside the EU/EEA, we rely on the EU–US Data Privacy Framework or the EU Standard Contractual Clauses. ## Retention We keep enquiry and contact data for as long as needed to handle your request and our relationship, then delete or anonymise it. Cookie lifetimes are listed in the [table above](#cookie-table); your consent choice is stored for 12 months. ## Your rights Under the GDPR you have the right to access, rectify, erase, restrict or object to processing, to data portability, and to withdraw consent at any time.
