Works inside M‑Files

AI from your records, on the model you choose

The AI assistant we supply alongside VisualQMS sits inside M‑Files, in the pane beside the record you have open and on its right-click menu. It answers from that record, the view you are in or the whole vault, follows the links between cases and counts them by their fields. It searches and reads as the person asking, so it only ever sees what they may see.

  • On the model you choose — You can use Scaleway (a European provider, hosted in the EU), OpenAI or Azure AI Foundry, or run a model on your own servers. With M‑Files, the model and any search index on your own servers, what it reads stays inside your company.
  • Trace a case — Ask "Which CAPAs are linked to this non conformance, and what does each one fix?" and each CAPA comes back as a link to its record.
  • Count by stage — Count open CAPAs or complaints by stage, as a chart you can copy into a report.
  • Summarise or compare — Summarise a procedure, or compare two versions, from the right-click menu.

Start where your documents are

Keep finding your existing documents while you move in

M‑Files connects to your file shares and SharePoint Online, so people can find documents where they are, and you move them in at your own pace.

  1. Step 1: Find them where they are

    Once connected, people search and open the documents on your file shares and in SharePoint Online from M‑Files. In M‑Files Cloud, file shares are reached through M‑Files Ground Link.

  2. Step 2: Give the important ones details

    Give a document its details, and it shows up in your views while the file stays where it is. From then on, changes made through M‑Files are kept in its version history.

  3. Step 3: Move them in when you're ready

    Bring documents in one department or team at a time. They keep their old numbers, and their details are added in bulk from Excel. We bring them in with you, using the migration tools.

Process maps that keep up with your procedures

Your processes are drawn in Elements.cloud, and each activity on the map opens the approved procedure behind it. When a new version of a procedure is approved and published, the activity opens the new one, and the map does not need to be republished. The process maps are a core module.

Emails, scans and data from your other systems

A folder that files itself

Files saved to a shared folder, such as the one your scanner saves to, are picked up and filed with their details. The details can be set for the folder, or read from the file.

An inbox that files itself

Where M‑Files runs on your own servers, point it at a mailbox in Microsoft 365, Gmail or another IMAP service, and each email that comes in is filed with its attachments. The details are set for that mailbox, or read from the email.

M‑Files can keep a list such as customers, products or employees in sync with an external database.

Integration questions

Do we need M‑Files already?
No. M‑Files, a full document management system, is included when you implement VisualQMS, and you can use it for other parts of the business too.
What happens to the documents we haven't moved yet?
Documents on your file shares or in SharePoint Online can be found from M‑Files where they are, once the connection is set up, and moved in when you're ready. Give a document its details, and it shows up in your views. From then on, changes made in M‑Files are kept in its version history; changes made on the share itself are not. Moved documents keep their numbers, and their details are added in bulk from Excel. In M‑Files Cloud, file shares are reached through M‑Files Ground Link, which runs on a server in your own network. We go through what each connector needs when we scope the work.
Can we use DocuSign or other e-signatures?
Yes. With the DocuSign or Adobe Acrobat Sign integration for M‑Files and your own subscription to that service, the signed document returns to M‑Files automatically; the integration needs an add-on licence key from M‑Files. To sign a workflow step inside M‑Files, you need its Electronic Signatures and Advanced Logging module, which is available for a separate fee.
How does co-authoring work?
On 31 December 2026 Microsoft retires Office Online Server, which M‑Files' browser co-authoring relies on when M‑Files runs on your own servers. In M‑Files Cloud with Microsoft 365, M‑Files' own co-authoring works in the browser and in desktop Office, once documents are kept in Microsoft 365 storage and opened in the new M‑Files Desktop or Web; we go through what your set-up supports when we scope it. The app for co-authoring that we supply alongside VisualQMS works in the cloud and on your own servers. One click opens the document in OneDrive, people edit it together in desktop Office or the browser, and it returns as a new version. People outside the company can be invited and need no M‑Files licence. The app needs M‑Files 25.1 or later, Microsoft Entra ID, Microsoft 365 Office licences for internal users and a service account with a OneDrive licence.
Which AI models can we use, and where does our content go?
The assistant we supply alongside VisualQMS is CtrlScout, an app installed in your M‑Files vault. You choose where the AI runs: Scaleway (a European provider, hosted in the EU), OpenAI, Azure AI Foundry, or a model on your own servers. The questions, and the content CtrlScout reads to answer them, go to that service. The model must support function calling, and CtrlScout connects to it with an API key. Run M‑Files and the model on your own servers, and your data never leaves the company. If you switch on search by meaning, keep its index and the service that prepares it there too. Files people attach from their own computer go to the same service, and attachments can be switched off.
What about M‑Files Aino and Microsoft 365 Copilot?
Aino is M‑Files' own AI assistant, and it is available to VisualQMS customers. Microsoft 365 Copilot works with M‑Files documents and M‑Files permissions once Microsoft 365 storage or the M‑Files Copilot connector is set up and users have Copilot licences.
Can we connect our ERP or CRM?
Yes. The typical use is fetching customers, products, manufacturers or vendors from the ERP or CRM system, so quality work uses that information without maintaining it in VisualQMS. We have connected Microsoft Dynamics and Maconomy, M‑Files has connectors for SAP, Dynamics 365 and Salesforce, and any system with an SQL database behind it can be connected directly. For anything else we build the connection. We go through what your system needs when we scope the work.
How does VisualQMS work with Microsoft 365?
VisualQMS is tightly integrated with Microsoft 365. Approved date, approver and version are embedded in Word, Excel and PowerPoint files, you edit without manual download and upload, and documents can be made available through Teams or SharePoint. Emails are filed from Outlook with their details; in new Outlook and Outlook on the web that runs through M‑Files for Outlook Lite, which is included, or Pro, which is licensed separately. The emails of a conversation are linked in M‑Files, so a whole thread can be read together. With Pro, new emails that arrive in a conversation you have filed, and emails put in a chosen Outlook folder, are filed by themselves. In classic Outlook, Outlook rules can file emails automatically too.
Can emails and scanned files come in by themselves?
Yes. M‑Files can watch a shared folder, such as the one your scanner saves to, and file what arrives with its details. Where M‑Files runs on your own servers, it can also watch a mailbox in Microsoft 365, Gmail or another IMAP service and file each email with its attachments. For M‑Files Cloud, ask us. Tell us which folder or mailbox you have in mind, and where M‑Files runs, and we tell you what applies.
Can people search M‑Files from Teams?
Yes, in two ways. M‑Files' own app for Teams needs the new M‑Files Cloud, or an M‑Files server of your own set up for gRPC. The app for Teams search that we supply alongside VisualQMS needs M‑Files 20.12 or later, Microsoft Entra ID and M‑Files Classic Web over HTTPS. It searches M‑Files from the Teams chat and turns pasted M‑Files links into cards people can click.
Can people sign in with their Microsoft account?
Sign-in with Microsoft Entra ID, with your own rules such as multi-factor sign-in, works through M‑Files' federated authentication. Tell us your set-up, and we tell you what applies.
How do the process maps from Elements.cloud get into VisualQMS?
You map your processes in UPN (Universal Process Notation) in Elements.cloud. VisualQMS renders the maps maintained there, so each activity can open the latest approved version of its document. When a document is published, its link in the Elements.cloud URL library is updated automatically.
Where does our data live?
Where you choose: on your own servers, hosted, in your own cloud or in M‑Files Cloud. M‑Files Cloud runs in Microsoft Azure and is encrypted at rest and in transit, and M‑Files is certified to ISO/IEC 27001, with a scope that covers M‑Files Cloud. Ask us which Azure region your subscription would use.
Who makes the apps?
CtrlDocs, named M‑Files Solution Partner of the Year 2025, makes CtrlShare, CtrlScout and CtrlConnect, the apps for co-authoring, AI and Teams search. We supply and implement them alongside VisualQMS, add the ones you want to your quote, and support them as part of your VisualQMS. CtrlDocs also makes CtrlProcesses, the viewer that shows your process maps.
